Set your RSVP deadline 3 to 4 weeks before the wedding. To pick the exact date, start from the day your venue or caterer needs the final headcount (usually 1–2 weeks before the wedding) and go back another 1–2 weeks. That buffer gives you time to follow up with guests who haven't replied. For destination weddings, or when many guests are flying in, set it 4 to 6 weeks before.
How to choose your exact RSVP date
- Find your venue's final-count date. It's in your contract, usually 7–14 days before the wedding.
- Subtract 1–2 weeks for follow-ups with guests who haven't replied.
- Pick a day guests can remember, such as a Friday or the 1st or 15th of the month.
Example: wedding on Saturday 15 August, venue needs numbers by 1 August. Set the RSVP deadline to Friday 17 July, which leaves two weeks to collect late replies.

How to word the RSVP deadline
On the invitation or RSVP card:
- Formal: "The favour of a reply is requested by the seventeenth of July"
- Classic: "Kindly reply by 17 July"
- Relaxed: "Please RSVP by Friday, 17 July"
- Arabic: «نرجو تأكيد الحضور قبل ١٧ تموز» (Levant) or «قبل ١٧ يوليو» (Gulf)

How many guests will say yes?
Planners commonly estimate that around 75–85% of invited guests attend a local wedding, and fewer, often around half to two-thirds, when most guests have to travel. Treat these as rough planning numbers, not promises. Your own rate depends on how many guests live abroad, the season, and how close you are to the people on your list.
Two habits make your numbers reliable:
- Count by seat, not by invitation. A family invitation can mean four seats; one guest with a plus-one means two.
- Plan the venue for your full list, and finalise catering only from confirmed replies.
What to do when guests miss the deadline
Some guests will always miss it. That's normal, not rude. A day or two after the deadline:
- Send one friendly reminder to everyone who hasn't replied:
"Hi Rami! We're finalising the seating for our wedding on 15 August and would love to know if you can join us. Could you let us know by Monday? 💛"
- Call close family and key guests personally. A two-minute call settles it.
- After that, mark non-replies as "not attending" for catering, and keep a small buffer in case someone shows up.
When a guest RSVPs for more people than invited
It happens: a guest replies "yes, 4" when the invitation was for two. Reply kindly and privately: "We're so happy you're coming! Our numbers are very limited, so we've reserved two seats for you." If you're the guest: how to RSVP properly
- Reply before the deadline, even if the answer is no. A quick decline helps the couple more than silence.
- On a paper RSVP card: write your names on the "M___" line (for example "Mr. and Mrs. Elias Khoury" or "Elias & Maya Khoury"), tick accepts or declines, add the number attending, and choose meals if asked.
- On a digital invitation: open your personal link, tap attending or not, confirm the number of guests, and add any note (dietary needs, song request).
